The Brief

Transforming an NEC hall into a highly engaging event experience for Aldermore Bank

Aldermore Day, held in February 2024 at Hall 3 of the NEC, celebrated the company's 15-year milestone and future strategies, bringing together over 1600 staff members. On Event Production Co. collaborated with Aldermore’s internal communications team to meticulously design an event that prioritised delegate experience, sustainability, and innovation. Despite an eight-week planning window, the hall was efficiently organised into key areas such as registration, networking, and the main plenary, along with four exhibition zones showcasing 29 bespoke stands. Comprehensive services, including production management, creative design, AV technology, and bespoke fabrication, were provided by our in-house team.

Sustainability was central to the event, using eco-friendly materials like recycled PET plastic fabric, recyclable carpets, and reusable set panels. Local accommodations and combined trucking from nearby warehouses optimised logistics. Interactive elements, such as VR and AR technology, a giant Monopoly game, an immersive entrance tunnel, and custom apps like a Million Pound Drop game and an escape room, were highlights. The main plenary area featured LED video walls embodying Aldermore’s core pillars, delivering captivating presentations and visuals. Budget efficiency was achieved through rental technology and streamlined in-house processes, demonstrating our commitment to excellence from start to finish.

Our Approach

Within a tight eight-week timeline, our in-house creative and production team meticulously planned and delivered the event. We started by mapping the flow of the event, ensuring that the NEC hall was effectively utilised to accommodate all desired elements: registration, networking and refreshments, the main plenary, and four distinct exhibition zones. These zones housed 29 bespoke stands, each designed to provide unique experiences curated by stakeholders from across the business.

Our production team played a pivotal role in guiding stakeholders, helping to transform their visions into practical, interactive solutions. We balanced their aspirations with the physical space, budget constraints, and the limited lead time. The event featured cutting-edge technologies, including VR and AR experiences, custom gamification, large format video displays, interactive photo booths, and bespoke props, scenery, and branding. Each zone and stand had a unique identity, enhancing the overall experience.

What we did

Engaging Plenary

The main plenary area was designed with simplicity and impact in mind. An LED video wall, comprising three strips, represented Aldermore’s core pillars, while large 16:9 projection screens flanked the stage. Our graphic designer collaborated with presenters to create engaging content that flowed seamlessly across these visual platforms. L-Acoustics Kara provided crystal-clear audio, and the area was illuminated with a mix of static and moving LED fixtures to enhance the atmosphere.

Sustainable Materials

Aldermore Day was designed with a strong focus on sustainability. We employed eco-friendly production materials and methods, such as: - Dye-sub printed graphics on 100% recycled and recyclable PET plastic fabric - Recycled and recyclable carpets throughout the venue - Xanita lightweight paper board for standalone graphics - Reusable set panels and staging fascia - Stock rental AV solutions - Team lift sharing and local accommodations - Combined trucking from local warehouses

Custom Interactive Apps

Our in-house app designer developed a series of bespoke apps to enhance interactivity and engagement: - A custom Million Pound Drop style gaming experience - An escape room with five unique challenges - “Find the Faithful,” inspired by the Traitors TV programme - A quick-fire logo identification game - A soundboard with audio clips from customer support calls - A bespoke photo gallery with green screen customisable backdrops - VR Experience

Creative Experiences

Creativity was at the heart of our event design. Highlights included: - A massive 5m x 5m Monopoly game - An immersive entrance tunnel featuring dynamic content and creative lighting - Unique props to reinforce key messages, such as a DeLorean car symbolising an AI journey from past to present

Cost Efficient Solutions

From the outset, the budget was clearly defined. To maximise value, we employed several strategies: - Utilisation of rental technology and solutions - Streamlined internal processes - In-house technology and fabrication capabilities - Dedicated and focused support team - Low-resource installation solutions - Minimising material wastage
