Whilst the ideal platform would have been an in-person live experience, COVID-19 risks determined the event should be fully virtual and we were challenged to produce an online experience that felt very different to a typical virtual meeting or webinar.
As a financial services provider with strict IT policies in place and a short lead-time for the event delivery, we were tasked to work with existing software and infrastructure to ensure the online event could be delivered securely and accessible by all attendees on company devices.
The agenda included:
• Live broadcast from a bespoke built studio for presentations and live audience interaction
• A 3D Exhibition Experience
• Live interactive feedback throughout the day using Slido
• Live Breakouts
• Insight and sharing of lunch activities using our virtual pics photo wall tool
Each section of the event was professionally produced with a TV magazine format. The event was hosted by two members of the team who steered the agenda, introduced new sections and reflected on the content and feedback from the live audience using Slido. The “Raised hand” function was utilised in Teams to take live questions directly from audience members and contribute in a managed and polished way ensuring the event felt more like a professional broadcast than a free-for-all meeting.
We worked with our client and their agency to design and build a studio space that reflected our client’s new brand and provide different environments for presenting the live elements. The soft seating area was utilised by the event hosts and presenters reflecting feedback from the virtual audience, and a large format LED video wall backdrop in bespoke frame formed the backdrop for the presentations. To ensure the event felt very different to the typical “virtual event” or “webinar” we avoided showing PowerPoint slides and instead created engaging animated graphics to sit alongside the live presenters.
We provided comprehensive support for the live onscreen presenters with autocue on all cameras, current and next screens for graphical content, live audience interactive comments screen and a countdown timer to keep each section to time. All presenters we given an ear-piece and our producer counted them down and provided direction throughout the event.
In the section of the event titled “Where are we now”, we built a 3D exhibition space where the audience could explore and immerse themselves in their current reality from the perspectives of a number of different stakeholders from customers and colleagues to external regulators and investors. We filmed and produced a number of short videos to bring the content of each stand to life, including using green screen technology to bring members of the team into the 3D space.
Slido and our Virtual Pics web app were used on mobile devices to receive feedback and images from the virtual audience throughout the event, allowing everyone to have ta voice and share their thoughts throughout the day.
