Every event starts with a plan. There’s time to think creatively, explore ideas and shape the experience you want people to have. But as the event gets closer, instead of planning ahead, organisers often find themselves answering supplier questions, approving changes and solving one technical issue after another.
It’s an easy trap to fall into. A revised stage layout affects the lighting. A venue asks for more information. A scenic element needs to change to accommodate a screen. One supplier is waiting for drawings from another before they can continue. This is what we call the delivery trap. The point where reacting to today’s problems leaves little time to think about tomorrow’s. There might be one company providing staging, another looking after AV, another building scenic elements and someone else producing CAD drawings. That usually means forwarding drawings, chasing updates, answering technical questions and making sure everyone is working from the latest version of the plan. It’s time-consuming, and it takes attention away from the event itself.

To avoid the reactive delivery trap, in which organisers are consumed by a constant stream of technical and supplier changes, event teams must have a dedicated planning space. While event projects begin with creative plans, the accumulation of hundreds of tiny, urgent decisions often derails their execution. Ultimately, taking the time to plan properly gives everyone more confidence and leads to better events.

Conversations get shorter while decisions become more urgent and organisers find themselves responding to a constant stream of technical questions, design changes and supplier requests.
It isn’t usually caused by one major issue. Instead, it’s the accumulation of hundreds of small decisions. A revised stage layout that affects the lighting design or a venue query that changes the rigging plan. Scenic elements that need adjusting to accommodate a screen or one supplier waiting for information from another before they can continue.
Before long, the organiser has become the person connecting all those conversations together.
We call this the delivery trap. It’s not so much being busy as reaching the point where reacting to today’s problems leaves little time to prevent tomorrow’s.
Ironically, the most productive day in any event project is often the day someone has enough space to stop, think and plan ahead.
What creates the delivery trap?
Managing an event with lots of different specialists often traps organisers in a cycle of endless coordination. While each supplier might be incredible at what they do, juggling separate schedules, constantly passing files back and forth and fielding urgent technical questions leaves you acting as the go-between for multiple suppliers. Constant firefighting eats up the planning time required to make the event a success.
Most live events involve a surprising number of specialist suppliers. Staging, AV, scenic fabrication, CAD drawings, temporary structures and logistics may all be handled by different companies, each with their own priorities, schedules and technical requirements.
There’s nothing inherently wrong with that approach. Many specialist suppliers are exceptional at what they do, but the challenge is coordination.
Every additional supplier creates another handover. Drawings move between companies. Technical questions are relayed through the organiser.
