Why sustainability is very important to our agency partners

In Brief (5 minute read)

Sustainability has moved rapidly from being a secondary consideration to an essential part of modern event planning. Large events can generate significant environmental impact through travel, materials and temporary infrastructure, and clients and audiences are increasingly aware of the responsibility that comes with producing large-scale experiences. As expectations grow, agencies are placing greater importance on working with production partners who understand both the creative ambition behind live events and the need to deliver them responsibly.

For agencies today, delivering an experience is no longer only about creating something memorable. Clients increasingly expect transparency, measurable impact and credible environmental practices. This shifts sustainability from a marketing message into the practical decisions that shape how an event is designed, built and delivered. Production partners play an important role in this process. Their expertise influences how materials are sourced, how structures are built and how logistics are planned. Agencies need confidence that the teams bringing their creative ideas to life are thinking carefully about long-term impact at every stage of the project. At On Event Production Co. sustainability is not treated as an additional feature. It forms part of the thinking behind every project we undertake.

Sustainability is sometimes seen as a limitation on creativity, but in practice it often encourages stronger and more thoughtful design. When materials are selected carefully and builds are designed with reuse in mind, the result is often a more considered and purposeful environment. Our fabrication process focuses on creating sets, stages and structures that are visually impactful while also being adaptable for future use. Modular design, efficient material choices and careful planning allow environments to be reused or reconfigured across multiple events. For agencies, this means creative concepts can be delivered with confidence, knowing that high-quality visual experiences do not have to come at the expense of unnecessary waste.

Technology is also helping the events industry make better decisions about sustainability from the earliest stages of planning. Digital planning tools allow teams to assess the potential energy footprint of an event before production even begins. This makes it easier to explore more efficient lighting strategies, alternative power sources and smarter logistics. Technology is also reducing the need for physical materials that would traditionally be produced for a single event. Event apps can replace printed programmes and schedules, digital communication can remove the need for large volumes of signage, and projection or interactive displays can often replace large physical installations. These approaches reduce waste while also creating more engaging and flexible audience experiences.

Hybrid and digital participation have also become valuable tools in designing more sustainable events. Allowing audiences to join remotely can significantly reduce travel-related emissions while also increasing accessibility and expanding the potential reach of an event. For agencies, hybrid formats provide flexibility when designing experiences that need to reach wider audiences without proportionally increasing environmental impact. This balance between engagement and responsibility is becoming an important consideration for many organisations planning events today.

In practice, sustainable event production rarely comes down to a single decision. Instead, it’s the result of many thoughtful choices made throughout the entire production process. Responsible sourcing of materials, modular fabrication, efficient logistics and careful transport planning all play a role in reducing environmental impact. Just as important is what happens after the event itself. Structures and materials can often be dismantled, stored and reused, allowing them to deliver value across multiple projects rather than being used only once. At On Event Production Co. our team manages the entire build process from fabrication through to installation, dismantling and storage. This allows us to ensure that materials and structures continue to deliver value beyond a single event wherever possible.

For agencies, the choice of production partner reflects directly on the experience delivered to their clients. Working with a partner who prioritises sustainability provides reassurance that environmental responsibility has been considered from the very beginning of the project.

It strengthens agency credibility, builds confidence with clients and ensures that sustainability is integrated into the delivery of the event rather than added as an afterthought. Our ISO 14001 accreditation supports this approach by ensuring that environmental management is structured, measurable and continuously improving.

As expectations around sustainability continue to grow, agencies increasingly rely on partners who can combine technical expertise, creative thinking and environmental awareness. At On, we see sustainability as an opportunity to approach every project with care and thought. By designing smarter and building more responsibly, we help agencies deliver experiences that leave a lasting impression while keeping the future in mind.

More Detail…

Why is sustainability becoming central to agency decision-making?

Sustainability is central to agency decision-making because large events generate massive environmental impacts, producing over 1,000 metric tonnes of CO2 emissions without proper planning (Event Industry Council, 2021). Driven by increasing client expectations for environmental accountability, agencies must prioritise production partners who seamlessly balance creative ambition with responsible delivery.

Across the events industry, sustainability has moved from a secondary consideration to an essential part of planning and delivery. For many agencies, the partners they choose to deliver production not only support them in creating memorable experiences, but also ensure those experiences are delivered responsibly.

Events can generate significant environmental impact, particularly through travel, materials and temporary infrastructure. Large conferences alone can produce over 1,000 metric tonnes of CO₂ emissions, demonstrating the scale of impact that events can have if sustainability is not considered from the outset (Event Industry Council, 2021). Clients and audiences have increasing expectations around environmental accountability, making responsible planning and delivery an essential part of modern event production.
For agencies, this means choosing production partners who understand both the creative ambition of live events and the responsibility that comes with delivering them.

Why do agencies need production partners who have a thoughtful approach to sustainability?

Agencies require sustainable production partners because modern clients demand transparency, measurable impact, and credible environmental practices. Delivering responsible events requires a collaborative approach that moves beyond mere messaging. By carefully managing materials, logistics, and long-term impacts during the design and build phases, production partners ensure sustainability is integrated into the core operational infrastructure.

Agencies are increasingly asked to deliver experiences that are not only memorable, but also responsible. Clients expect transparency, measurable impact and credible environmental practices. This moves beyond messaging into the practical realities of how an event is designed, built and delivered.

The role of a production partner is therefore not simply technical. It’s collaborative. Agencies need reassurance that the production teams bringing their ideas to life are thinking carefully about materials, logistics and long-term impact.

At On Event Production Co. sustainability isn’t treated as an added feature – it’s built into how we approach every project.

How does sustainable production support agency creativity?

Sustainable event production supports agency creativity by driving innovative design thinking rather than acting as a constraint. By prioritising careful material selection, modular components, and purposeful fabrication planned for long-term reuse, production teams create visually impactful environments. This integrated approach empowers agencies to confidently deliver memorable experiences while eliminating unnecessary waste.

Sustainability is sometimes viewed as a constraint, but in practice it often encourages better design thinking.

Our event fabrication process ensures that every set, stage and structure is built with purpose. By selecting materials carefully, designing modular components and planning for reuse, we create environments that are both visually impactful and adaptable for future events.

For agencies, this means creative concepts can be delivered with confidence – knowing that strong visual experiences do not need to come at the cost of unnecessary waste.

By making the most of event space, tailoring builds thoughtfully and designing assets that can be reused, we help agencies deliver memorable experiences that don’t come at the cost of sustainability.

How do technology and hybrid formats support sustainable event delivery?

Technology enables agencies to deliver responsible events by utilising digital planning tools to optimise energy footprints and replacing physical materials with interactive digital alternatives. Furthermore, integrating hybrid and virtual formats drastically advances sustainability goals, with research demonstrating that remote participation can reduce travel-related emissions by over 60% (Mitsou et al., 2023).

Technology is increasingly helping the industry make more informed decisions about sustainability right from the earliest stages.

Digital planning tools can assess the potential energy footprint of an event before production even begins. This allows organisers to explore more efficient lighting strategies, alternative power sources and more sustainable logistical planning.

Technology is also helping reduce the need for physical materials.

For example:

  • Event apps replacing printed programmes and schedules
  • Digital communication reducing the need for printed signage
  • Interactive displays and projection replacing large physical installations

These changes reduce waste while also creating more dynamic audience experiences.

How are hybrid and digital formats supporting sustainability goals?

Hybrid and virtual participation have become valuable long-term tools for agencies.

Allowing attendees to participate remotely can significantly reduce travel-related emissions while expanding accessibility and audience reach. Research into conference participation models shows that hybrid formats can reduce travel emissions by over 60% in some cases (Mitsou et al., 2023).

For agencies, this provides flexibility – enabling them to design events that reach wider audiences without proportionally increasing environmental impact.

What does sustainable production look like in practice?

Sustainable event production relies on integrated choices like responsible material sourcing, modular fabrication, and efficient logistics to minimise waste. For agency partners, working with providers holding ISO 14001 accreditation guarantees measurable environmental management. This structured approach directly supports agency credibility and strengthens client confidence by ensuring verifiable, responsible delivery.

Sustainable event delivery is rarely the result of a single decision. Instead, it comes from a series of considered choices throughout the production process.

At On this includes:

  • Responsible sourcing of materials
